My mom was always good at this. Manila folders in boxes, a place for everything. We all grew up with our own little portable file boxes for school things. I carried that with me until I got married, and then, with kids and more paperwork coming in from more directions, it started falling apart.
I rebuilt it. Every kid got their own file box, there were places for the important papers, and when things stacked up we'd just take a moment to go through them.
Then life changed in a big way, and I had to rebuild it again. A lot of papers needed new homes. I also started being more lenient with myself, especially during health stretches where I just didn't have the energy. I'd set up a catchall spot and tell myself, next time I feel well enough to reach into this corner, I'll deal with it. That's still a system. It's just an honest one.
The "overkill" story: I keep an ongoing note with every immediate family member's shoe size, pants size, and shirt size, plus their favorite brands and colors, whatever they're into that month. My ex husband thought that was completely overkill, he actually said so in front of a friend of mine from Mexico. She said she wished her own family had been more organized like that. She figured it was almost cultural, that some of us grow up with more of that scaffolding already built in than others. She's right that it's a skill, not something you're born with.
The line I keep coming back to: it doesn't really get better, it just gets different. I used to think I'd eventually land on the perfect system and stop touching it. I don't think that's true anymore, and that's fine.
A small example of when it failed: I've lost track of an emailed document at a full time job before, something someone sent me that I never filed where it belonged, and then couldn't pull up when I needed it. Small embarrassment, real wasted time. Same thing at tax time, when I've been sure I put something in the right place and hadn't.
Why I'm telling you this
None of this took AI, and it didn't need to. A notes app, a calendar, alarms on my phone, that's most of it, and it works just as well. Other times AI genuinely gets you ahead, that's what most of the rest of this site is about. Knowing which is which matters more than reaching for AI out of habit.
